Proposed 2011-2012 Budget

This budget was developed before any final decisions had been made concerning the upcoming school budget and any possible pay to participate. We decided to keep our fees the same but to cut our expenses with the expectation of a pay to participate. Our goal is that the total out of pocket would remain the same for each student.

The TCMB have made a promise to all band and fall guard parents:

  • If the School Board decides on a “pay to participate” fee for band and guard
  • TCMB will pay to the school up to $100 per student for this fee
  • Parent MUST have paid 100% of their 2011-2012 fall band fees ($310) by July 1st

Vice President Mark Starcher called the meeting to order at 7:07 pm.

Approval of March 14, 2011 Minutes – A motion was made to approve the minutes by Nancy Starcher and was 2nd by Robyn Liffick.  The motion carried

-New officers will be elected at next month’s  meeting.  Anyone interested in serving on the executive board can contact Jayne Stenger to have their name put on the slate.

Treasurer Della Stearns – Reviewed current financial report.  Everything looks good although we are still behind in the band uniform reserve account.   A motion to approve the March 2011 financial statement was made by Nancy Starcher and 2nd by Julie Moor.  The motion carried.

Heather Marsh – Assistant Band Director

- The State Concert Band Final is on Friday April 29, 2011 at Troy High School.  We are expecting our performance time to be around 5:30 pm to 6:00 pm.  Because of the choir competition at the high school, we will put our uniforms and instruments in the Industrial Tech room.  Any students not attending prom Saturday night are asked to work at the choir competition.  We need concession stand workers, judge runners and help tearing down and clearing out the Industrial Tech room after the competition.

-Symphonic Winds will perform for the 5th graders at LT Ball on Monday, April 18, 2011.  Students will eat lunch first then report to the band room at 12:15 pm.  We will return at 2:15 pm.

-We have 30 seniors graduating and are losing 8 members who are not returning.  We are picking up 24 freshmen for a total of 125 band members.

-Upcoming Events

-State Concert Band Finals Friday, April 29, 2011 at Troy High School

-State Choir Finals April 29-30, 2011 at Tippecanoe High School

-Spring Concert/Awards May 16, 2011 at 6:30 in the CPA.  We need someone to take pictures of the seniors for the senior plaque and someone to head up the senior baby picture presentation.

- Symphonic Winds Final Concert May 22, 2011 at 3:00 pm in the CPA followed by and ice cream social.

-Graduation May 29, 2011

-Memorial Day Parade May 30, 2011

-Last day of school Friday June 3, 2011

-Strawberry Festival Parade Saturday, June 4, 2011

Deb Bringman – Choir Director

-The Symphonic Choir received a Superior Rating and the District Contest and will be performing at the State Contest at Tippecanoe High School Saturday April 30, 2011 in the morning.

-The New York City trip is May 4-8, 2011.  There will be a mandatory parent meeting Monday, April 25, 2011 at 7:00pm at the high school.  If a parent cannot attend, they will need to send a representative.

-Middle Solo and Ensemble participants received an even split of Is and IIs.

-TMS Spring Choir Concert is May 19, 2011 8:00 pm in the CPA.  Special awards will be given then; other awards will be given the next week in class.

-TMS Choir Contest will be Friday May, 2011 or Saturday, May 21, 2011 in Troy, Ohio.  The trip to King’s Island will be Saturday, May 21, 2011.

-Senior Tea Performance Tuesday, May 10, 2011.

-THS Spring Concert and Awards will be Thursday May 24, 2011 at 7:00 pm in the CPA.

-Awards are in the process of being completed.

-Band parents are need to help with State Contest Saturday April, 30, 2011 in the morning.  We need bus parkers, concession workers and hallway supervision.

Julie Baldwin – Winter Guard Director

-Winter Guard finished 4th out 11 at MEPA Championships

Chuck Cantrell Drumline Director

-Drumline finished 1st or 2nd at all competitions.  We finished 2nd (only 1.02 points behind 1st place) at the MEPA Championships.

-Rehearsals for fall drumline will begin at the end of April, 2011.

New Business

-A motion was made by Carla Frame and 2nd by Sheryl Bechtol to move $2500 from Guard Reserve to cover overage.  The extra $1000 will be used to cover vendors if necessary.  Motion carried.

-A motion was made by Nancy Staracher and 2nd by Julie Moor to use the extra income from concessions to pay off the $8875.06 loan balance for the sousaphones .

The proposed budget for 2011/2012 school year was presented and will be posted on the Music Boosters website.  It will be voted on at the May 9, 2011 meeting.

Directors’ Reports
Steve Parks – Band Director
-At the OMEA District Contest, theSymphonic Winds earned a Superior rating and qualified for the State Competition April 29th-April 30th.  We are hoping to perform on Friday the 29th in Lakota or the overflow site in Findlay.  If we are scheduled for April 30th we will not attend because this conflicts with Prom.
-The Marching Band will perform march in the Strawberry Festival in Troy and the Mum Festival in Tipp.
-The Middle School Solo & Ensemble Contest is on March 15, 2011 at 3:00 pm.
Heather Marsh – Assistant Band Director – Not Present

-At the OMEA District Competition, the Concert Choir received and Excellent II rating.  For the Symphonic Choir there were 16 Is, 7 IIs and 3 IIIs rating.  For the first time our school’s history an Ensemble competed in Class AA (the most difficult class) and received a I.
-The Middle School Solo & Ensemble Contest will be March 17, 2011.  There will be approximately 35 events and the judges will be Karen Schwienfest and Neil Zimmerman.
-Sign up for the State Competition will be after Spring Break.
Julie Baldwin – Winter Guard Director
-At the WGI Regional Competition, the guard moved up a class and finished 23rd out of 24.  Currently the guard is regionally ranked 70th out of78, and out of all regions 196th out of 238.
-At the Centerville Competition, we placed 4th out of 10.  Our next competition is March 26, 2011 in Westerville.  The MEPA Finals are April 2-3, 2011 in Miamisburg.
Chuck Cantrell Drumline Director – Not Present
New Business
We are currently working on the 2011/2012 budget.  We are preparing for the possibility of deep budget cuts and hope to know more after Governor Kasich’s speech on March 15, 2011.  There is the possibility that we may not know how deep the budget cuts will be until July of 2011.

Catered hospitality for Division III basketball and made $100.00.  We still need a replacement buyer for Jerry Webb.  Jeanie Fairbanks has said that she might chair concessions for the girls’ soccer games.
Fundraising – Mark Starcher
The Pie Peddler Fundraiser has begun.  Sue O’Toole is the chairman.  Order forms are available in the band and choir rooms.  Detailed information is available on tippcitymusicboosters.org.  Money and order forms are due by Friday, March 25, 2011.  Pies are to be picked up on Wednesday, April 20, 2011 in the choir room between 3:00 pm and 6:00 pm.

Scholarship – Patty Ash
-The committee has been selected:  Jenny Warner (band), Diane Sedam (choir) and Pate Hale (community).  The applications are available in the high school Guidance Office.  Completed applications must be turned into the guidance office by Thursday, April 21, 2011, the day before Good Friday.  The committee will meet in early May to select a recipient from both choir and band.  The recipients will be announced at the May concerts.

Pie Peddler Sale

Who: High School Band, Choir & Guard Students

When:  Orders taken from March 9th – 25th.  ALL pies must be paid

for when the order is submitted. Please put the money in a sealed

envelope with your name on it.  Make checks payable to TCMB.

Pies will be delivered on Wednesday, April 20th and should be

picked up in the high school choir room between 3:00 – 6:00 pm.

Why: To raise money for both the Music Boosters and student

accounts

How much: Pies will sell for $10 each.  Students will earn $2 toward their

student accounts for every pie sold.

What:    Delicious pies from the Pie Peddler in Dayton!

Additional pie information (provided by the Pie Peddler):

1.    Fruit pies have a shelf life of 4 to 5 days.  Cream pies have a shelf life of 3 to 4 days.

2.    If you wish to refrigerate the pies, they will last a day or two longer.

3.    All of the pies can be frozen up to 2 months in their shipping boxes.  Allow 3-4 hours at room temperature for thawing a fruit pie and several more hours for thawing a pecan pie.

Approval of Minutes – A motion was made by Kim Wharton to approve the January 2011 minutes.  It was 2nd by Nancy Starcher.  The motion carried.

Fundraisers
- Sub Sale – 2175 subs were sold.  Students received $1.00 credit per sub sold.
- Pork & Sauerkraut Dinner, Wednesday, February 23rd 5-7 pm at Tipp City United Methodist Church.  The buyer/chef is Mike Chaney, volunteer coordinator is Paulette Kolakowski, dessert coordinator is Sheryl Bechtol, and music coordinator is Nancy Starcher
- Pie Peddler – Prepaid orders will be taken before spring break.  Pies will be delivered Wednesday, April 20th (Easter Sunday is April 24th).  Students will earn $2.00 per pie sold.  TCMB will receive remaining amount.
- Script Program – Details of the script program were discussed.  We are looking for a chairperson to head up this endeavor.  Details will be posted on the TCMB website.

Allocated Restricted Reserves for 2010/2011 year as follows:  Winder Drumline $200.00, Band Uniforms $6000.00 and choir robes $1500.00.  A motion to approve was made by Nancy Starcher and 2nd by Kim Wharton.  The motion carried.
Reviewed January, 2011 Financial Statement – A motion was made by Robyn Liffick and 2nd by Nancy Starcher to approve the financial statement.  The motion carried.

Directors Reports

-Solo and Ensemble Contest will be February 19, 2011 in Greenville Ohio.  Information sheets are available in band room.  The buses will leave at 6:47 am and will return at 6:00 pm.  Students are strongly urged to ride with parents or guardians.  Since this is a school event, students will only be permitted to ride with parents or guardians (not other students).
- Pre-contest Concert is schedule for Tuesday, March 1st.  Judges have been lined up and will be taken out to dinner after the concert by Steve and Heather in lieu of payment.
- Large Group Contest will most likely be on Friday, March 11th at either Ben Logan High School or Bellefontaine High School.   We will know more in the next week or two.
- Band Camp is scheduled for July 10th at Rio Grande.
- 2011/2012 Band Calendar is in the works.  We will have a working copy by next month.
- Middle School Solo & Ensemble is on Tuesday March 15th.
- Thank you for sending us to convention.
-The Pep Band schedule for this year’s basketball season is posted on the TCMB website.  All band students must participate at 4 games in order to receive an A in class.

-Thank you for the money to go to convention.  It was a VERY good conference – lots of practical learning.
- Solo and Ensemble is Saturday, February 19th in Greenville.  Our first performance is 8:08 am and the last performance is 4:12 pm.
- Pre-contest Concert is schedule for Thursday, March 3rd at 7:00 pm.  Three judges will attend and yearbook pictures will be taken.
- I’ve requested that the choirs perform at contest on Saturday, March 12 in the morning.
- Stared Middle School Solos on February 28th.  The contest is scheduled for Thursday, March 17th.
- We will be hosting one stage of the OMEA Southwest Region of State Contest on April 29th and 30th.  Do you want me to request a cafeteria worker?  I will have a list of jobs for parents at the April Booster meeting.  I am in desperate need of someone to prepare and serve food for the judges.  This is the same weekend as prom.  I’m going to try to schedule everything on Saturday morning and finish early.  We may need parents to help with the tear down.
- Choirs are performing at LT Ball (for recruitment purposes) on Thursday, February 24th.

-Guard finished 3rd in their class at Kettering and jumped 18 points from Miamisburg contest.  The next contest is Sunday , February 27th in Bellbrook.

Drumline finished 1st in their class at Kettering.   The schedule for February is posted in the band room.  The next contest is Sunday, February 27th in Bellbrook.

-  The Solo and Ensemble Contest will be February 19, 2011 in Greenville, Ohio.  All payments and information are due by January 18, 2011.  A sign-up sheet is posted in the band room.

-  There will be a Concert Band and Symphonic Winds pre-contest concert on March 1, 2011 at 6:30 pm.

-  All band students must participate in 4 pep band events to receive an A in band.

-  The choir sang at the funeral for Kyle and Ryan Pignatello’s mother.

- The Solo and Ensemble Contest will be February 19, 2011 in Greenville, Ohio.  We have 27 soloists and 5 ensembles competing in this year.

- There will be a Concert Choir and Symphonic Choir pre-contest concert on March 3, 2011 at 7:00 pm.  The choir will be moving up a class to AA this year.

Color Guard Director Julie Baldwin – Not Present

- There will be a pre-competition show on January 26, 2011 at 8:00 pm in the high school gym.  Everyone is invited.

- The first competition is January 30, 2011 at Miamisburg High School.

- The tarp has been painted.  The easels have been made and the Plexiglas has been ordered.

- The new Dynasty speaker will be replaced before the end of the month.

- The marimba stand is leaning.  We will attempt to repair it, but if this fails we will need to order a new one which will cost approximately $1100.  A motion to allocate money for a new marimba stand was made by Nancy Starcher and 2nd by Kim Wharton.  The motion carried.

- Concessions will donate 80 cups of applesauce to the Pork and Sauerkraut Dinner.

Fundraisers – Mark Starcher

-  The sub sale fundraiser ends 1/13/11

-  There will be a Pork and Sauerkraut Dinner on February 23, 2011 at the Tipp City United Methodist Church.  We will need help in the kitchen with cooking and cleaning.  A booster blast will go out to all TCMB members with the details.

A motion to adjourn was made at 7:30 by Nancy Starcher and 2nd by Julie Moor.  The motion carried.

After the meeting was adjourned, Julie Baldwin arrived.

At 8:21 pm a motion to recall the meeting to order was made by Nancy Starcher and 2nd by Julie Baldwin.  The motion carried.

- There will be a pre-competition show on February 26, 2011 at 8:00 pm in the high school gym.  Everyone is invited.

- The first competition is January 29, 2011 at Miamisburg High School.

- The Winter Guard would like to compete in the World Guard International Competition in Dayton, Ohio the first weekend of March, 2011.  The membership fee is $575.  A motion to reallocate money for the WGI membership fee was made by Nancy Starcher and 2nd by Julie Moor.  The motion carried.

 

A motion to adjourn was made at 8:24 pm by Kim Wharton and 2nd by Nancy Starcher.  The motion carried.
